Chantrelles Fine Catering
The following is an outline of our catering charges. Please take an opportunity to review our policies. We are more than happy to answer any questions you may have.
Service and Sales Tax
For all services provided by Chantrelles Catering, we do add a service fee of 20% and applicable sales tax of 8.25% to your final bill. (The service fee is not a gratuity)
Linens
There is a linen rental fee that varies based on the event. Our clients may choose the color, style, and the length of all linens. The charge for linens will be added to your bill after we receive your final guest count.

Alcohol Service/Bar

Chantrelles Catering does not possess a liquor license. All clients are responsible for providing all liquor, beverages, ice, and disposable cups for the bar. (Glassware may be rented in for the bar at an additional cost)

There is a $400.00 fee for any alcohol service provided on-site. We do require the use of our on-site bartenders. We do not allow family members or friends to operate our bar. Time will include one (1) hour setup and one (1) hour of breakdown and cleanup. A standard tip cup will be placed on the bar unless the other arrangements have been made.

Hard alcohol bartenders are $150.00 per event per bartender.

Soft alcohol bartenders are $120.00 per event per bartender. This fee is to also include non-alcoholic bars.

For clients wishing to handle a gratuity with the bartender, a standard $1.00pp is recommended. Invoiced parties require a 20% service fee. Events larger than 150 guests will require two bartenders.

Cash bars licensed by the state A.B.C. and possessing a valid off-site service permit are allowed. Outside vendor cash bars are required to provide a $200 cash deposit upon arrival for the event. The manager in charge returns the deposit at the end of the event, providing all bar items and trash are cleaned up.

The client assumes all liability for any alcohol consumed on the premise during the event.

Last call for liquor will be made approximately 15 minutes before the music ends.
Food
Certain foods are subject to season availability. Chantrelles reserves the right to offer substitutions if the food is not up to our level of quality. Due to the fluctuation in food costs, all prices are subject to change without notice.
Security
Chantrelles requires a security guard for all events. A private security guard will be provided for your party for a fee of $300.00.
Gratuities
Our staff members work hard to ensure the success of your event. They are appreciative of any gesture of kindness the clients provide. We do not automatically add a gratuity to your bill like many locations. We believe this should be up to the client based on the quality of service. A recommended gratuity is 15% of the menu charges.
Entertainment
REQUIRED OF ALL ENTERTAINMENT PLAYING AT THE PADUA HILLS THEATRE:

All disc jockeys & live bands MUST have liability insurance to cover them the day of the event.

Proof of liability is MANDATORY and must be given to Chantrelles 2 weeks prior to the scheduled event.

If the client fails to provide Chantrelles with this requested information, the Entertainment company will not be permitted on the premises of the Padua Hills Theatre.

(An insurance policy may be purchased through the City of Claremont covering the event. This policy must be purchased by the indicated renter of the facility and will only cover Disc Jockeys.)
Ceremony:
The following is completed for your ceremony. We prepare the gazebo, set up all the chairs, guest book podium, gift table, ceremony table (if needed), place the white isle runner, ceremony breakdown and cleanup. There is a Wedding Ceremony set-up fee of $750.00.
A one-hour rehearsal time will be made available for you during the week of your event, which is included. Please ask your family and wedding party to be on time so we can begin the rehearsal at the designated time. An additional charge of $75.00 will be charged for rehearsals that go beyond the one-hour time frame. Rehearsal times are not guaranteed.
Holding of Dates:
All dates are sold on a first come, first serve basis. Chantrelles does not hold nor guarantee dates without deposits.
Booking Deposit:
The deposits required to book and confirm are as follows: (Deposits may be made by check or cash)
A $2,500.00 deposit is paid to Chantrelles Catering. A 50% deposit of the rental charges to the City of Claremont. These deposits are non-refundable and non-transferable. A date change will require new deposits.
(There is a $25.00 charge on all returned checks and the client is responsible for any additional bank charges/fees incurred) (We do not take credit cards)
Payments:

A second deposit of 50% of the catering bill and the balance of the facility rental fees are due five months (150 days) prior to your event. We will finalize your menu choices, linen colors, bar set-up, ceremony set-up, room diagram, and all other details at this meeting.

Final guest count confirmation is due two weeks prior to your event. From that point on, your guest count may go up but not down. At this point, your menu selection can only be changed with an increase of menu items. No decrease in menu items will be permitted.

The remaining catering bill is due two days prior to the event. Final payment is to be made by a cashiers check only payable to Chantrelles Catering.
